Privacy Policy

Koby ("we", "our", "us") is a Slack application that helps managers give regular feedback to their teams. This Privacy Policy explains how we collect, use, store, and protect your data when you use Koby.
1. Data We Collect
When you install and use Koby, we collect the following data from your Slack workspace:
Slack Profile Data
- Slack user IDs, display names, and email addresses
- Workspace ID and workspace name
- User roles (admin, owner, member)
Usage Data
- Feedback messages written by managers (content, sender, recipient, date)
- Shoutouts and recognition messages
- One-on-one meeting records (dates, participants, status)
- Manager goals and progress metrics
- Interaction data (buttons clicked, features used)
Technical Data
- OAuth tokens (used to communicate with Slack on your behalf)
- Timestamps of actions performed within the app
2. How We Use Your Data
We use your data exclusively to provide and improve the Koby service:
- Displaying feedback history and team coverage to managers
- Sending automated nudges and reminders via Slack
- Generating AI-assisted feedback drafts (content is sent to Anthropic's Claude API for processing and is not stored by Anthropic)
- Providing analytics dashboards to workspace administrators
- Tracking product usage to improve the user experience (via PostHog)
We do not sell, rent, or share your data with third parties for advertising or marketing purposes.
3. Third-Party Services
Koby uses the following third-party services to operate:
- Anthropic (Claude API) — AI-assisted feedback drafting. Feedback context provided by the manager is sent for processing and is not stored by Anthropic.
- PostHog — Product analytics. Anonymized usage events (button clicks, feature usage).
- Render — Hosting and database. All application data is encrypted at rest.
4. Data Retention
- Your data is retained for as long as Koby is installed on your Slack workspace.
- If you uninstall Koby, we will delete all associated workspace data within 14 business days, as required by Slack's Developer Policy.
- You may request earlier deletion at any time by contacting us.
5. Data Security
- All data is encrypted in transit (TLS/SSL) and at rest.
- Database access is restricted to authorized personnel only.
- OAuth tokens are stored securely and never exposed to end users.
- We do not store Slack message content beyond what is explicitly submitted through Koby's feedback features.
6. Your Rights
You have the right to:
- Access your data: request a copy of all data we hold about you.
- Correct your data: update inaccurate information.
- Delete your data: request deletion of your personal data at any time.
- Export your data: request a portable copy of your data.
- Restrict processing: ask us to limit how we use your data.
These rights apply regardless of your location.
7. Cookies
Koby's web dashboard may use essential cookies for authentication purposes only. We do not use tracking cookies or third-party advertising cookies.
8. Children's Privacy
Koby is a workplace tool designed for professional use. We do not knowingly collect data from anyone under the age of 16.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify workspace administrators of significant changes via Slack or email. Continued use of Koby after changes constitutes acceptance of the updated policy.
